Accommodation: Room Types, Rooms and Extra services

On this section you can add and edit room types, and manage room information. Here you can also insert extra services that are either included in the room price or available for additional cost.

ROOM TYPES


Edit, delete and add room types to your property. To add a room type, click the "Add room type" button in the upper right corner. This opens a five-page view where you can complete all the room type information:



1. Room type details

On this tab, you can select the type of the accommodation from the drop-down menu (cottage, hotel, private room, sauna etc.), give a name to the room type and, if you wish, translations into different languages. 

Here you can also add other basic information about the room type, such as the number of square meters, the year of construction and/or renovation, and the number of people that can be accommodated.


Here you can also adjust the usual check-in and check-out times for your destination, which will appear in the GuestApp application. If you wish to add a different check-in or check-out time for some individual reservations, you can edit this directly from the reservation you wish to give modified check-in/out times for.


In the Internal notes section, you can make your own notes that will not be visible to the hotel guest.


NOTE! The room type will only appear in the online store when you check the box "Is published".


Check-in instructions: Here you can write a short (max. 300 characters) arrival instructions for the guest. This instruction can be seen in the GuestApp view (if you are not yet familiar with GuestApp, you can read more about it here. With the "Add translatioin" button, you can make the arrival instructions in different languages.



2. Location

In this tab, you can enter the street address of your property. If you added areas to the filters on the settings (settings ----> online store), you can add the area you want to the room type under "Place". You can also add the location to GoogleMaps, so the traveler can easily view the destination's location in the online store.


Driving directions: In this section you can write, for example, information for driving directions. You can also tell the guest other important arrival-related information here. The information will appear on the guest's booking confirmation and on the GuestApp application. Click on the "Add translation" button and you can write the instructions in different languages.



3. Amenities

From this tab, you can check the amenities that can be found at the room type. Only checked amenities will be visible in the online store.



4. Images


Completing this tab is one of the most important things in building your room type descriptions. 


Through this tab, you can add images and captions to the room type. You can either download or drag-and-drop images directly into Moder. Please note that the images must be in .jpg format. 


You can easily change the order of the images by dragging. The images appear in the online store in the order you specify on this page, so the first image is the most important in terms of sales.


What should you take into consideration when adding images to Moder, and what should be the specs of the images? Here are our tips:

  • The maximum size of one image is 10 MB
  • There is no upper limit to the number of images per room type, i.e. you can add as many images to Moder as you want, but in general 20-25 images/room type should be considered as a sufficient amount
  • The pictures will be displayed in the booking search in a 3:2 aspect ratio
  • The aspect ratio does not have to be 3:2, because they are automatically cropped. The most important thing is that the pictures are horizontal. Vertical images lose information from the top and bottom when cropping. Also, if the aspect ratio is low (e.g. 16:9), the right and left sides of the image are cut off
  • The width of the image should be at least 1920px (in a 3:2 aspect ratio, the image size is 1920x1280). Images are reduced automatically, so the image can be larger


Here you can also give the room type a short and long description. The short description is meant to be catchy, a couple of sentences description that will appear on the front page of the online store (see example image below). 


The long description, on the other hand, opens up for the guest to read when he gets to know the room type in more detail (via the "Explore" button, see example image below).


For both short and long descriptions, you can also add translations via the "Add translation" button.





5. Nearby services


Here, you can determine how far it is from your destination to the most important services. This information is not yet transmitted to the online store for the traveler to see, but this feature will become active in the future.



How to add more rooms for a room type?


From the main page of the "Accommodation" -section, you can specify how many rooms (or cabins, igloos or boat berths) are available for each room type. You can see the number of rooms on the front page of the accommodation view, and you can add or remove rooms via the "Rooms" button.




After clicking on the "Rooms" button, a new view opens. To edit the rooms, click "Edit" on the left upper corner. After that, you can add or delete rooms, edit the names of the rooms, write more information about the rooms and add a possible door code. Additional information is not visible to the guest. Press "Save" after making the desired changes.




ROOMS


This section lists all the rooms in your property in one list. Through the "Edit" button, you can complete, for example, door codes or internal additional information for each room, regardless of the room type, from one place. Please note that the additional information completed in this section will not be visible to the guest but is only for internal use.


If you enter the door code for the room and enable automatic text message sending, Moder automatically picks up the door code from here for text message (see Customers ---> Scheduled messages section, if you want to learn more about automatic door code sending from Moder).



EXTRA SERVICES



On the front page of the Extra services view, you can see all your extra services, their pricing and VAT rates at a glance.


From here, you can manage extra services that you want to offer the guest to book in connection with the accommodation, as well as add to the online store those "extra services" that are already included in the room price (for example, breakfast or bed linen can be such extra services included in the room price).


Click the "New extra service" button in the upper left corner to add a new extra service. Certain extra service categories have already been added to Moder, but you can also select the "Other" category if your extra service does not belong to any predefined category. You can name the extra service as you wish and add translations for different languages. You can also provide a more detailed description of the extra service if you wish.


Add a checkmark to "Published" so that the extra service becomes available for guests to purchase in your online store.



Adding images to extra services


You can also add images to extra services. The image is visible to the guest in your online store. It immediately makes your online store look more attractive and increases the attractiveness of extra services. You can add an image by either uploading or dragging.


Please note that if you create a new additional service, the image should be added before the text and prices. If you first add the text and the price, and then the image, the previously written texts will disappear and you have to rewrite them. You can also add images to previously created additional services afterwards, and in that case the previously added texts will also be preserved.


Adding prices to extra services


Next, you must enter the price of the extra service and choose whether the extra service is included in the room price or whether an additional cost is charged for it. If the extra service is included in the room price, you do not necessarily need to give it a price at all. Exceptions are extra services that have a different VAT rate. A price must be set for these.


If you choose that the extra service is included in the room price, you can also choose whether Moder automatically calculates the amount of extra services according to the number of guests (for example, linen) or according to the lenght of stay (for example, parking). You can also choose both options, in which case the extra service is calculated according to both the lenght of stay and the number of guests staying (for example, breakfast).


Next, let's look at various extra service possibilities with the help of examples.



Example 1: Extra service is included in the room price


In this example, an extra service, breakfast, is included in the room price. The share of breakfast in the price of the whole night (100 euros) is 12 euros, and the share of accommodation is 88 euros.


Moder now automatically calculates the number of breakfasts, taking into account both the number of guests and the length of stay, because both "Automatic quantity by people count" and "Automatic quantity by night count " are activated.


The extra service is also set to be valid for all room types.




Extra services included in the room price will appear on the online store under the room type description once the guest clicks "Explore" on the main page to see all details of the given room type.




Example 2: Extra service is available for additional cost


In this example, the extra service, final cleaning, is not included in the room price, but the guest can choose it as an optional additional service from the online store in connection with the accommodation.


The maximum quantity for the extra service is set to 1, which means that the traveler can buy one copy of this additional service from the online store.


If the minimum number was also set to 1, the online store would force the guest to select the extra service in question as a mandatory paid extra service for the accommodation. Please note that this is not allowed. Using the mandatory extra service is only allowed if the price of the extra service in question is 0 euros.


In this example, the point "Published" is checked as active, so the extra service can be found in the online store.





Paid extra services can be selected by the guest in the online store in the second step of the booking, i.e. immediately after the room type, dates and the number of guests have been selected.




Example 3: The extra service is visible but not bookable on the online store


In this example, we want to advertise Private sauna to guests when they book a room, but we don't want the sauna to be booked through the online store (the minimum and maximum quantities are set to zero). In the description field of the extra service, more detailed booking instructions for the sauna have been added (see lower picture).





The private sauna appears in the online store, but the guest cannot book it directly from there. Detailed booking instructions are written in the "Description" field of the additional service.




Please note that the "Published" section must be always checked so that the extra service appears visible in the online store.
