Activity pricing
Pricing activities is a key part of defining your product and its availability. To make your activity bookable through an online store or other sales channels, appropriate pricing must be set for each product.
Pricing determines how and at what cost customers can book your activity. It can be easily configured through Moder’s Pricing section, in the same way as pricing for other products.
Base pricing represents the standard price of the activity and establishes the basic availability level of the product. It serves as the foundation for all pricing and can later be modified or complemented with special campaign or seasonal pricing. Base pricing provides customers with a clear price for the activity and ensures consistent and transparent pricing across different sales channels.
Setting a base price for an activity is an important step to ensure that your product is bookable at the correct price and availability. The base price allows you to define the activity’s basic fee, validity periods, and booking terms, which determine how early customers can make reservations.
If you’re already familiar with setting base pricing for accommodations, you can skip ahead a few steps in our course to the section on setting daily prices and bookable time slots, either in the private activity or unit-based activity section, depending on which type of activity you’re creating.
Pricing for private activities
Pricing private activities, such as private sauna sessions or wilderness excursions, differs slightly from standard bookings. In the case of private activities, the entire activity is reserved for a single customer or group, and it is not shared with other bookings.
This pricing method provides customers with a more personalized and exclusive experience while allowing for more precise management of the location's utilization.
This guide will walk you through setting a base price for a private activity, defining bookable times, and managing pricing for additional guests. Precise pricing is essential to ensure the activity is displayed correctly in the online store and meets customer expectations.
By following these steps, you'll learn how to price a private activity clearly and attractively, making it easy and convenient for customers to make their reservations.
Creating base price for activity
Begin by selecting the room type you want to price from the Pricing page by clicking the arrow on the right side of the row
Choose Create base price or click the plus sign next to the base price text
Set a name for the base price
Give the base price a clear name that describes the price and its purpose.
For example, you could name it "General sauna turn - base price" or "activity base price". The name helps you and your team easily identify the pricing type. The name you choose will never be visible to customers in the online store.
Pricing periods
Just like with accommodation pricing, seasonal pricing for activities in Moder can be conveniently managed through the duration of the base price.
Set the validity period for the base price
Define the validity period for the base price, such as start and end dates, if the price applies to a specific time frame.
The validity can also be ongoing if the price does not need to change regularly.
Continuous pricing serves as a foundation upon which seasonal base prices can be set to better align with the needs of seasons, demand, and special events. This allows your company to ensure that prices are always up-to-date and optimized for different periods.
Moder tip! A continous base price and base price for specific period can be active at the same time.
Base price period and continuous pricing
In this example, the base price period is set to be valid from January 1, 2025, to December 31, 2025. However, in Moder, it is also possible to use continuous pricing by selecting the "Continuous" setting.
A continuously valid base pricing serves as the foundation for pricing. Other base prices can be applied for specific periods on top of this, during which these seasonal prices will override the continuous pricing for the respective time frame
For example, you can create a continuous base pricing that applies to all times without any specific time period defined. In addition, you can set another base pricing valid from June 1 to August 31, 2025. In this case, the property will normally have a continuously valid base pricing, but during the summer season, from June 1 to August 31, 2025, the base pricing specifically set for this period will apply.
This approach allows you to define seasonal prices flexibly while ensuring continuous pricing covers all other periods.
This pricing model enables a tourism business to effectively respond to seasonal fluctuations and changes in demand, as well as optimize revenue based on different seasons, without the need to adjust the continuous base pricing.
Adjusting the advance booking time
In Moder, you can set the advance booking time, which determines how far in advance a reservation must be made before the activity’s start time. Adjusting the advance booking time provides flexibility in managing reservations and helps optimize resource utilization, which is particularly important for busy accommodation and activity destinations.
By using the advance booking time, you can better manage the booking situation, minimize last-minute changes, and ensure that customer expectations are met.
Set the "Bookable before" rule
In the "Bookable before" section, you can define how far in advance customers must make a reservation. This setting gives you control over the scheduling of bookings and ensures that you have sufficient preparation time for organizing the activity.
The default setting is one day, meaning reservations must be made at least the day before. This rule helps manage the booking process and prevents last-minute reservations that could cause logistical challenges. By using the default setting, you can ensure you have adequate time to prepare for customer arrivals.
Same-day bookings
If you set the value to 0, this means the activity can be booked on the same day.
This is particularly useful if you want to offer customers flexible booking options, such as quick reservations for sauna sessions or other activities that do not require extensive preparation time.
Benefits and practices
- Efficient booking management: Setting the advance booking time enables businesses to manage the scheduling of reservations effectively. This is especially helpful during busy periods, where advance booking times are crucial for resource management.
- Better preparation: By setting the advance booking time, for example, to one day, you can ensure sufficient time to prepare for customer arrivals and ensure the activity is ready at the right time. This enhances the quality of customer service and reduces stress from last-minute changes.
- Flexibility for customer needs: Allowing same-day bookings provides greater flexibility for customers and improves their experience. This can particularly attract spontaneous customers or those looking to take advantage of last-minute availability.
Setting the advance booking time is a key tool for optimizing your booking management and improving service quality. It gives you control over the booking process and ensures everything runs smoothly, whether reservations are made a day in advance or on the same day.
Setting daily prices and bookable times
In the next step of pricing, the activity price and bookable times are defined, allowing customers to select a time that suits them. Pricing for activities differs slightly from accommodation pricing, but with these tips, you can ensure that schedules and prices are set correctly to ensure smooth operations.
Note! Without pricing and set schedules, your activity product will not be bookable in the online store!
Setting availability and base prices
You can set the daily price and availability by clicking the arrow next to each weekday.
Set the activity's availability and times
Define the activity's availability, for example, between 10:00 and 19:00. Moder will automatically divide the available time into booking slots based on the default duration of the activity.
For instance, if the default duration is 60 minutes, the system will generate hour-long slots within the set time frame that customers can book. In the example of a private wilderness guide tour lasting 120 minutes, the program will create two-hour slots for booking
Moder tip! Moder will inform you of the duration you have set for each activity when creating the product.
Defining times is crucial as it helps manage the availability of the product and prevents overlapping bookings.
Customize times if needed
If you need time for tasks such as cleaning or other interim procedures, you can adjust the time slots by setting different intervals. This ensures smooth operation of the activity or item and allows sufficient time to complete necessary tasks before the next booking.
Check slots and default duration
NOTE! Ensure that you set the slots to match the default duration of the product precisely.
For example, if the default duration of the activity is 60 minutes, make sure the slots are set exactly on an hourly basis (e.g., 10:00-11:00, 11:00-12:00, etc.). Incorrectly configured slots that do not align with the default booking duration can cause issues with the activity's pricing and visibility in the online store, potentially confusing customers.
Available 24/7?
If your activity product is available to travelers around the clock, select the option to make it bookable all day.
Set prices
Define the price for the product and set the times for the days when the activity is available. This ensures that the activity appears correctly priced and scheduled in the online store and sales channels.
With these instructions, you can set the activity price and bookable times correctly, ensuring a smooth booking experience for your customers. Careful pricing and scheduling help you offer clear and appealing options that meet customer expectations and support your business in the best possible way.
Pricing for extra persons in private activities
In activity pricing, you can define the base price to include a specific number of guests and set charges for additional guests. This pricing method allows for flexible and fair pricing when more people join the activity than covered by the base price. Follow these steps to set up additional participant pricing for your activity.
Settings for additional participant pricing
Number of guests included in the base price
First, specify how many participants are included in the activity’s base price.
For example, "Price includes 4 guests" means the base price covers participation for four people. After this, you can set the charges for additional participants.
Additional price per extra guest
Set an additional price for each guest exceeding the number included in the base price.
For example, if the base price includes 4 guests and a fifth guest joins, the additional price could be 20€ per extra participant. This setup allows for more precise pricing as the group size increases.
Additional price for children
You can set a separate additional price for children. For example, "Additional price/child €5" allows you to offer discounted rates for children, making the activity more appealing to families.
Child pricing can be especially useful when the activity is suitable for all age groups.
Calculating additional guest prices
Choose the method for calculating the additional charge to determine how the fee is applied:
- additional price per person per booking: This option means the additional charge is calculated for each extra person for the entire booking period. It’s useful for one-time or short-duration activities.
- additional price per person per default duration: This option applies the additional charge for each extra person based on the activity’s default duration. For example, if the default duration is 60 minutes and the additional charge is €10 per person per hour, the charge will multiply according to the booking duration.
With these settings, you can tailor your activity pricing based on group size and duration, providing greater flexibility and enhancing the customer experience. Remember to test the pricing functionality and ensure that the pricing model is clear for both customers and staff.
Price label
You can optionally add additional information about the price, which will be displayed next to the price in search results for customers. These texts provide details about what the price includes and help distinguish your offering from others. You can also add translations for the price texts in different languages, ensuring clarity across all language versions of your online store.
Enable price texts
Activate the price label feature by toggling the price labels option on.
This feature opens additional settings where you can specify the extra information displayed alongside prices in search results.
Add price label text
Write a clear and informative text in the text field to explain to the customer what is included in the activity's price. For example: 'Drinks are included in the price' or 'All gear is included in the price.' This text will be displayed directly next to the price in search results and helps customers understand what is included, potentially improving their decision to purchase
Add necessary translations
You can add translations for the price label in the other languages you’ve enabled for your online store. Adding translations ensures that the information is clear and accessible to all customers in their chosen language.
Click "add language" and select the language you want the price text to be translated into. Enter the translated text in the corresponding field.
For example: in English: "Price includes breakfast" or "Includes equipment rental". This way, the price label will appear to customers in their selected language, improving their experience and understanding.
Remember to save your selections at the end!
Price labels allow you to provide your customers with clear and appealing information about what is included in the price directly in the search results. This improves the customer experience and increases the attractiveness of your offering. Be sure to keep the texts short and concise so they are easy to read and understand.
Copying the base price
Base pricing is set individually for each activity, but you can copy the established base price directly to another room category if the pricing is the same or nearly identical. You can do this by selecting all the activities where this price applies to under "Room types" selection, right below the column where you give a name to your base price.
Please note that base pricing cannot be copied for different time periods within the same room category; copying is only possible to another room category.
