Pricing a unit-based activity

Pricing for unit-based activities, such as public sauna sessions or group activities, differs from private activity pricing in that, that the same activity can be booked by multiple customers simultaneously. This pricing method is well-suited for open activities where multiple spots can be sold for the same time slot, maximizing the utilization rate and increasing sales opportunities.

This guide will walk you through setting a base price for a unit-based activity, configuring available time slots, and managing additional person pricing. Unit-based pricing is an ideal way to handle multiple simultaneous bookings and offer flexible booking options for customers.

With the following steps, you'll learn how to price a unit-based activity clearly and effectively, allowing customers to easily book a spot directly from your online store.

Creating base price for activity

Start by selecting the room type you want to set pricing for on the Pricing page by clicking the arrow on the right side of the row.

Choose 'Create base price' or click the plus sign next to the 'Base price' text:

Set a name for the base price

Give the base price a clear name that describes the price and its purpose.

For example, you could name it 'Public Sauna Session - Base Price' or 'Activity Base Price.' The name helps you and your team easily identify the pricing type. The name you choose will never be visible to customers in the online store

Pricing periods

Just like with accommodation pricing, activity pricing in Moder can also conveniently implement seasonal pricing through the duration of the base pricing.

Set the validity of the base price

Define the validity period for the base price, such as start and end dates, if the price is intended for a specific time frame.

The validity can also be continuous if the price doesn’t need to change regularly.

Continuous pricing serves as a foundation upon which seasonal base prices can be added to better align with the needs of seasons, demand, and special events. This ensures that the prices are always up-to-date and optimized for different periods, allowing a travel business to maximize revenue.

Moder tip! A continuous base price and a base price set for a specific period can be active at the same time.

The timing of the base pricing period and continuous pricing

In this example, the base pricing period is set to be valid from January 1, 2025, to December 31, 2025. However, in Moder, it is also possible to use continuous pricing by selecting the 'Continuous' option.

A continuously valid base pricing serves as the foundation for pricing, but other base prices can be added for specific periods. These seasonal prices will override the continuous pricing during their designated time frames.

For example, you can create a continuous base pricing that covers all time periods without specific definitions and, in addition, set another base pricing valid from June 1 to August 31, 2025.

In this case, the activity would normally follow the continuous base pricing, but during the summer season from June 1 to August 31, 2025, the specifically set base pricing for that period would apply. This approach allows for flexible seasonal pricing while the continuous pricing covers all other times."

This pricing model allows a travel business to effectively respond to seasonal variations and changes in demand, as well as optimize revenue according to different seasons, without the need to adjust the continuous base pricing.

Adjusting the bookable before - time

In Moder, you can set the pre-booking time, which determines how far in advance a booking must be made before the activity's start time. Adjusting the lead time provides flexibility in managing bookings and helps optimize resource utilization, which is especially important for busy accommodation and activity locations.

By setting a lead time, you can better manage the booking situation, minimize last-minute changes, and ensure that customer expectations are met.

Set the 'Bookable before' rule

In the bookable before- section, you can specify how far in advance customers must make a booking. This setting gives you control over the scheduling of bookings and ensures that there is sufficient preparation time for organizing the activity.

The default setting is one day, meaning the booking must be made no later than the previous day. This rule helps manage the booking situation and prevents last-minute reservations that could cause logistical challenges. With the default setting, you ensure that you have enough time to prepare for customer arrivals.

Same day bookings

If you set the value to 0, it means that the activity can be booked on the same day.

This is particularly useful if you want to offer customers flexible booking options, such as quick reservations for sauna sessions or other activities that do not require extensive preparation time.

Benefits and practices

  • Efficient booking management: Adjusting the lead time allows businesses to effectively manage booking schedules. This is particularly important during busy periods when lead times are critical for resource management.
  • Better preparation: By setting a lead time, such as one day, you can ensure that you have enough time to prepare for customer arrivals and make sure the activity is ready at the right time. This enhances the quality of customer service and reduces the stress of last-minute changes.
  • Flexibility for customer needs: Allowing same-day bookings provides customers with more flexibility, improving their experience. This can especially appeal to customers who want to make spontaneous bookings or take advantage of last-minute availability.

"Setting a bookable before-time" is a key tool that helps optimize your business's booking management and enhances service quality. It gives you control over the booking process and ensures everything runs smoothly, whether the booking is made a day in advance or on the same day.

Setting daily pricing and available time slots

In the next step of pricing, you’ll set the activity’s price and available time slots, allowing customers to choose a time that suits them. Activity pricing differs slightly from accommodation pricing, but with these tips, you can ensure the correct setup of schedules and prices for smooth operation

Note! Without pricing and set schedules, your activity product will not be available for booking in the online store!

Setting availability and base prices

You can set the daily price and availability by clicking the arrow next to each weekday.

Set the activity's validity period and time slots

Set the activity's availability, for example, between 10:00 AM and 7:00 PM. Moder automatically divides the activity into bookable time slots based on the default duration. For instance, if the activity's default duration is 60 minutes, the system will create hourly slots within the specified timeframe that customers can book. In our example, a public sauna lasts 120 minutes.

Moder tip! Moder will show you the duration you set for each activity when creating the product

Defining time slots is important as it helps manage the availability of the offering and prevents overlapping bookings.

Customize the time slots if needed

If you need time for cleaning or other interim tasks, you can customize the time slots by setting different intervals. This ensures the smooth operation of the activity or offering and allows sufficient time for necessary preparations before the next booking.

Check the time slots and default duration

NOTE! Ensure that the time slots are set to match the default duration of the offering exactly.

For example, if the default duration of the activity is 60 minutes, ensure the time slots are set exactly one hour apart (e.g., 10:00–11:00, 11:00–12:00, etc.). Incorrectly set slots that do not match the default duration can cause issues with the activity's pricing and visibility in the online store, potentially confusing customers.

Available 24/7?

If your activity product is available to travelers around the clock, select the 'All Day' option to make it bookable for the entire day.

Set the prices

Set the price for the activity and specify the time slots for the days when the activity is available. This ensures the activity appears correctly priced and scheduled in the online store.

IMPORTANT!

Since this is a slot reservation for a unit-based activity, remember that you are now setting the price for one seat/slot.

Also, ensure that the price includes one (1) person. This way, the base price covers the reservation for a single spot.

With these instructions, you can set the activity's price and booking times correctly, ensuring a smooth booking experience for your customers. Careful pricing and scheduling allow you to offer clear and attractive options that meet customer expectations and support your business in the best possible way.

Extra person pricing for unit-based activities

In unit-based activities, such as public sauna sessions or snowmobile rides, the base price typically includes one person. This means each reserved spot covers one participant. If a traveler books a spot for multiple people at once, it is recommended to set additional person pricing to ensure fair and accurate pricing for the activity.

For example, in snowmobile safaris where a snowmobile accommodates two people, the base price often covers only one person, so an additional charge for the second passenger is necessary. These instructions will help you set up additional person pricing for your unit-based activity.

Number of people included in the price

In unit-based activities, such as a public sauna session, the base price typically includes one person. Define the number of people included in the base price to ensure the pricing is clear to customers.

For example: 'The price includes 1 guest' means that the price covers the reservation for one spot."

Additional price per person

Set an additional price for each extra person booked at the same time.

For example, if the price for a public sauna session includes one person and the customer books a spot for a second person, the additional price will likely be the same as the price for the included person.

This pricing method is particularly important for unit-based bookings involving multiple participants, such as snowmobiles, where the vehicle accommodates two people, but the base price covers only one passenger.

Child pricing

You can set a separate additional price for children. For example, "Additional price/child 3€" allows you to offer a discounted rate for children, which can attract families to the activity. This is especially useful when the activity is suitable for all age groups.

Calculating additional guest prices

Choose an appropriate method for calculating additional fees, which determines how the extra charge is applied:

Additional Price / Person / Booking: This option means the additional fee is calculated for each extra person for the entire duration of the booking. This is useful for one-time or short-term activities, such as a public sauna session.

Additional Price / Person / Default Duration: This option charges the additional fee for each extra person based on the default duration of the activity. For example, if the default duration is 60 minutes and the additional fee is €100 per person per hour, the fee is multiplied by the booking duration.

With these settings, you can customize the pricing of unit-based activities clearly based on the number of people customers book. This pricing approach enhances flexibility and ensures that bookings are accurately priced, supporting both your business's profitability and customer expectations. Remember to test the pricing structure to ensure it functions correctly and is clear for both customers and staff.

Price label details

You can optionally add additional information about the price, which will be displayed next to the price in search results for customers. These texts provide details about what the price includes and help distinguish your offering from others. You can also add translations for the price texts in different languages, ensuring clarity across all language versions of your online store.

Enable price texts

Activate the price label feature by toggling the price labels option on.

This feature opens additional settings where you can specify the extra information displayed alongside prices in search results.

Add price label text

Write a clear and informative text in the text field to explain to the customer what is included in the activity's price. For example: 'Drinks are included in the price' or 'All gear is included in the price.' This text will be displayed directly next to the price in search results and helps customers understand what is included, potentially improving their decision to purchase.

Add necessary translations

You can add translations for the price label in the other languages you’ve enabled for your online store. Adding translations ensures that the information is clear and accessible to all customers in their chosen language.

Click "add language" and select the language you want the price text to be translated into. Enter the translated text in the corresponding field.

For example: in English: "Price includes breakfast" or "Includes equipment rental". This way, the price label will appear to customers in their selected language, improving their experience and understanding.

Price labels allow you to provide your customers with clear and appealing information about what is included in the price directly in the search results. This improves the customer experience and increases the attractiveness of your offering. Be sure to keep the texts short and concise so they are easy to read and understand.

Copying the base price

Base pricing is set individually for each activity, but you can copy the established base price directly to another room category if the pricing is the same or nearly identical. You can do this by selecting all the activities where this price applies to under "Room types" selection, right below the column where you give a name to your base price.

Please note that base pricing cannot be copied for different time periods within the same room category; copying is only possible to another room category.
