Customers: Scheduled Messages

In the Scheduled Messages (Customers ---> Scheduled messages) section, you can create different email messages and schedule their sending to the guests, for example before check-in (Welcome message) and after check-out (Thank you message and feedback survey).


Here you can also activate sending the door code via text message automatically before check-in.

SCHEDULED EMAIL


Click "Create new scheduled Email" to create a new scheduled email message.




Give the message the desired name.  When you click the check mark on "Active?", the message sending is active, so click this only when the message is completely ready and you want Moder to start sending it.


Choose the trigger rule for the message:

  • before check-in
  • after check-in
  • before check-out
  • after check-out


Define in hours how many hours after the given rule the guest receives the message. Example: if the check-in time is 3:00 p.m. in the room type settings, the guest will receive a message whose sending rule is 3 hours after arrival, at 6:00 p.m. (on the same day).




After that, give the e-mail a title and write the desired message in the "Email body" field. You can write the same message in different languages by clicking the "Add translation" button, selecting the desired language and writing the message and title in the language of your choice.


A few important notes about scheduled messages:

  • Currently it is not possible to create scheduled messages for virtual packages. 
  • If a scheduled message does not go through for some reason, or if the customer makes a reservation after the scheduled message's send time, Moder will attempt to resend the message once, 12 hours after the original scheduled send time. 
    • Example: If a scheduled message is set to be sent 72 hours before the guest's arrival, Moder will try to resend the message 12 hours later if it does not go through the first time or if you receive a new reservation within the 72-60 hour period (72 - 12 = 60 hours). After this, you will need to manually send the scheduled message.



SCHEDULED SMS


The scheduled text message function is mainly intended for sending the door code, but it can also be used as a Welcome message if desired. The sending rule is always before check-in.


The message template cannot be edited, but is standardized and can be seen at the end of the text message settings. If a door code has been defined for the room type in question (under Accommodation ---> Rooms), the set door code will be picked up for the text message to be sent. Please note that you cannot set automatically changing codes via Moder, but you must manually change the door code if you want to change the outgoing door code.


NOTE! If you use a locking integration with Moder (e.g. Ratna), a unique door code is generated directly for each reservation through the integration. The generated unique code is then sent as a text message to the guest when the scheduled SMS function is activated.


You can define the name of the text message sender yourself. Go to Settings---> Properties---> SMS Sender Name. The name may contain a maximum of 11 characters. If the name is not set separately, Moder selects the first 11 characters of the property name as the sender's name.
