In this support article we will explore pricing for private activities. The pricing of private activities, such as private sauna sessions or wilderness trips, differs slightly from the usual reservation system. In private activity pricing, the entire activity is booked for an individual client or group, and it is not shared with other reservations.

Creating the basic price of the activity

Start by selecting the room type you want to price on the Pricing page by clicking the arrow on the right side of the row.

Select Create new base price or click the plus sign next to the Base Price text.

Give the base price a clear name that describes the price and its use. 

For example, you can name the price "General sauna session - Base price" or "Activity base price". The name helps you and other team members easily identify the pricing type. The name you choose will never be shown to the customer in the online store.

Pricing periods

Set the validity periods for the base price, for example a start and end date, if the price is intended for a specific period. The validity can also be continuous, if the price does not need to change regularly.

Continuous pricing serves as a foundation on which seasonal base prices can be set to better meet the needs of seasons, demand, and special events. This way, a tourism company can ensure that prices are always up-to-date and optimized for different periods.

In Moder it is also possible to use continuous pricing by selecting "Continuous" setting. Continuously effective base pricing serves as the foundation for pricing, but other base prices can be set for specific times, whereby these seasonal prices replace the continuous pricing during that period.

For example, you can create a continuous base pricing that covers all times without a separate specification, and additionally define a second base pricing whose validity period is 1.5.-31.82025. In this case, the item normally has a continuously valid base pricing, but during the summer period a base pricing specifically set for that period is applied. This enables flexible definition of seasonal prices, while the continuous pricing covers all other times.

Advance booking time

In the 'Advance booking time' section you can specify how much in advance customers must make a reservation. This setting gives you control over scheduling bookings and ensures that the preparation time for organizing the activity is sufficient.

The default setting is one day, meaning the reservation must be made by the previous day at the latest. This rule helps manage the booking situation and prevents last-minute reservations that could cause logistical challenges. With the default setting you ensure that you have enough time to prepare for the customers' arrival.

If you set the value to 0, this means that the activity can be booked on the same day.

Setting the daily price and available times

In the next pricing step, the activity's price and bookable hours are defined so that customers can choose a time that suits them.

You can set the daily price and availability by clicking the arrow next to each day of the week:

Set the activity's availability, for example, between 10:00 and 19:00. Moder automatically divides the reservable times for the activity into intervals (slots) according to the default duration. If, for example, the activity's default duration is 60 minutes, the program splits the time range into hour-long slots that customers can book.

If you need time for cleaning or other temporary tasks, you can adjust the times by setting different intervals. This ensures that the activity or venue usage runs smoothly and that all necessary tasks can be completed before the next reservation.

NOTE! Make sure you set the slots exactly according to the default duration of the item.

For example, if the activity's default duration is 60 minutes, set the slots exactly an hour apart (e.g., 10:00-11:00, 11:00-12:00, etc.). An incorrectly set slot that does not match the booking's default duration can cause issues with the activity's price and visibility in the online store.

If your activity product is available to travelers around the clock, select your product to be bookable All day.

Set the item's price and assign times for the days when the activity is bookable. This ensures that the activity appears in the online store and sales channels correctly priced and with the right schedules.

Per person pricing settings

First, define how many people are included in the activity's base price.

For example, "The price includes 4 guests" means that the base price covers participation of four people. After that, you can set the charges for additional persons.

Set an extra price for each additional person who exceeds the number of people included in the base price.

For example, if the price includes 4 guests and a fifth guest joins, the extra price could be, for instance, €20 per additional person. This setting enables more precise pricing as the group size grows.

You can set a separate extra price for children. For example "Extra price/child" allows offering discounted prices for children, which can attract families to participate in the activity.

Choose the extra price calculation method, which determines how the surcharge is charged.

Additional price / person / reservation

This option means that the additional price is calculated for each extra person for the entire reservation period. This is useful when the activity is one-time or does not last long.

Additional price / person / default duration

This option charges an additional fee for each extra person according to the activity's default duration. For example, if the default duration is 60 minutes and the additional fee is €10 per person per hour, the extra fee multiplies based on the reservation length.

If you wish, you can add additional price information that will be shown to the customer next to the price in search results. These texts provide customers with more details about what the price includes, and help distinguish your listing from others.
